Call recording and transcripts, with the summary on top

Every call on a tracking number can be recorded, transcribed and summarised. Skim what each caller wanted in seconds, then listen to the parts that matter.

A call in Calltrail: how the caller found the business, a summary of the conversation, auto tags and a suggested lead stage

Read a call in ten seconds

Nobody has time to listen to forty calls a week. Calltrail writes a short summary of each recorded call and picks out the facts that matter to a local business:

  • New enquiry, existing customer, supplier or sales call.
  • What the job is and where it is.
  • How urgent it is.
  • What was agreed, such as a survey on Thursday morning.
  • A to-do list, and a suggested lead stage you can accept in one click.

Find the calls that matter

Tags are added automatically when a caller says the words you choose: “quote”, “emergency”, “cancel”, a product name. New phrases also tag the last 90 days of calls, so you can ask a question of your history the moment you think of it. Filter the call list by tag to see every urgent call this month, or every caller who asked for a price.

Coach the people answering the phone

Each answered call gets a simple handling score: did they take the caller's name and number, find out what the job was, and agree a next step? It's an easy way for an agency to show a client that the leads were good but the phone handling needs work.

Recordings handled carefully

  • Callers hear a recording notice before they're connected.
  • Recording and transcripts can be switched off for any client.
  • Access follows client permissions, and every play is logged.
  • Recordings are stored privately and only played through short-lived links.

Questions people ask

Is it legal to record business calls in the UK?

Businesses can record calls for purposes such as quality, training and keeping a record of what was agreed, provided they tell callers. Calltrail plays a short recording notice before the call connects. Your privacy notice should also mention it. If you're unsure about your situation, take advice.

Can I turn recording off for some clients?

Yes. Recording, transcripts and summaries are switched on or off per client.

Who can listen to recordings?

Only people with access to that client. Each time someone plays a recording it is logged, so you can see who listened and when.

Do I need a special phone system?

No. Calls on Calltrail tracking numbers are recorded as they pass through to the business's normal phones, including mobiles.

What does the summary include?

A short description of what the caller wanted, the type of enquiry, the area, how urgent it was, what was agreed, any follow-up to do, and a suggested lead stage such as booked.
